Key Responsibilities:
As a Practice Assistant, your main responsibilities include providing high-level administrative support to the assigned timekeepers and other staff as required. This role demands proactivity, responsiveness, and excellent time management skills. You will be responsible for managing documents, maintaining schedules, and ensuring smooth operations across your team.
- Document Management: Efficiently prepare documents, proofread for accuracy, and suggest improvements to streamline work processes. You’ll also answer phone calls professionally, gather necessary information, and deliver clear and accurate messages.
- Calendar Management: Maintain and organize calendars for the attorneys. This includes scheduling meetings, ensuring all logistics are prepared (like AV requirements and catering), and anticipating needs in advance. You’ll also manage court filings, open new cases, prepare engagement letters, and track legal requirements for the attorneys.
- Client Relationships: Assist in developing and maintaining client relationships by supporting initiatives like on-site events and monitoring attorney social media accounts. You’ll also manage attorney-client interactions and ensure that relationships run smoothly.
- Office Support: Coordinate tasks such as document copying, sending faxes, handling mail and shipping, and maintaining organized files. You’ll ensure that all office services are carried out efficiently and accurately.
- Collaboration & Teamwork: Work closely with the support team, helping co-workers when needed. Ensure that all work is complete and accurate. Assist with time entry, billing, and coordinating travel plans for attorneys. You’ll also manage expenses and invoices, ensuring timely and correct processing.
- Professional Development: Identify areas where you need training and actively seek opportunities to improve your skills. Stay up-to-date with relevant jurisdictional rules, share your knowledge with the team, and embrace new technical solutions.
- Additional Duties: Perform any other tasks as assigned. You will need to stay adaptable, flexible, and willing to take on new responsibilities.
Skills and Qualifications:
To succeed in this role, you must meet the following qualifications:
- Experience: A minimum of 3 years of relevant experience in a law firm or legal setting is required.
- Education: A Bachelor’s Degree is required, although relevant experience in place of a degree will also be considered.
- Notary Public Certification: This is preferred but not required.
- Communication Skills: Strong verbal and written communication skills are essential for this role. You must be able to communicate effectively with attorneys, clients, and co-workers.
- Attention to Detail: You must have excellent attention to detail and be able to manage challenging situations while meeting varying deadlines.
- Interpersonal Skills: Ability to interact professionally with personnel at all levels within the firm.
- Technical Skills: Proficiency in Microsoft Office, including Excel and PowerPoint, is required. You should also be comfortable learning and using new technology and software as needed.
- Independence: You must be able to work independently with minimal supervision. Confidence in decision-making and the ability to manage your workload is crucial.
- Multi-tasking Ability: You must be comfortable handling multiple tasks at once and prioritizing effectively.
- Litigation Law Knowledge: While not required, an eagerness to learn more about litigation law will be beneficial in this role.

Compensation & Benefits:
The expected annual salary for this position in Los Angeles, CA, ranges from $69,807 to $99,851. Actual compensation will depend on a variety of factors, such as experience, location, education, and qualifications.

Work Schedule:
