Hinge Health is looking for a detail-oriented and proactive Administrative Assistant. This role is crucial to improving the efficiency and organization of our team. As an administrative assistant, you will provide valuable support to executives and teams by managing various tasks, including scheduling meetings, organizing travel, and handling expenses. As part of the People Experience team, you will work closely with Executive Assistants (EAs) and Workplace Coordinators, ensuring that daily tasks run smoothly. Your efforts will directly contribute to making the team more productive and creating a more organized workplace. We are searching for someone eager to learn, takes the initiative, and is willing to support the team whenever needed.

Key Responsibilities

1. Meeting Coordination

  • You will take charge of managing meeting requests, primarily through Slack.
  • Your duties will include organizing logistics for in-person meetings and making sure everything runs smoothly.

2. Effective Communication

  • Act as a point of contact between executives, internal teams, and external partners.
  • You will handle all communications related to meeting planning and execution, ensuring they are clear, concise, and professional.

3. Collaboration with Team Members

  • Work closely with Workplace Coordinators and EAs to ensure all event details—such as room setup, tech needs, and any other requirements—are managed.
  • Your role will ensure that every meeting and event is successful and well-coordinated.

4. Travel and Expense Management

  • Assist in booking travel and accommodations for executives and ensure that all expenses are tracked and reported accurately through Navan, specifically for VPs and Senior Directors.
  • You will help with expense reports to guarantee they are completed correctly and on time.

Hybrid Work Model

Hinge Health promotes a hybrid work model, recognizing the benefits of both remote and in-office work. Employees in this role are expected to work three days per week from the office, combining the advantages of remote flexibility and face-to-face collaboration.


Required Qualifications

Basic Qualifications:

  • At least 2 years of experience as an Administrative Assistant, supporting teams or mid-level executives.
  • Proficient in Google Workspace (Docs, Sheets, and Calendar), with a minimum of 2 years of experience.
  • 2+ years of experience managing travel arrangements, handling expenses, and organizing meeting logistics.

  • Attention to Detail: You should be able to ensure high-quality work, paying close attention to communication, meeting setups, and expense tracking.
  • Time Management: Prioritizing tasks and meeting deadlines should come naturally to you.

  • Customer Service Mindset: You should have a history of providing excellent support to both internal teams and external partners, building strong relationships, and always exceeding expectations.
  • Adaptability and Flexibility: Being willing to learn new tasks, adjust to evolving situations, and assist colleagues when necessary is essential.
  • Organizational Skills: Strong organizational skills are key, allowing you to manage and prioritize multiple tasks efficiently.
  • Communication Skills: Excellent verbal and written communication skills are necessary to effectively communicate with colleagues, executives, and external partners.

Compensation and Benefits

This is an hourly position with equity options and a range of benefits. The hourly pay for this role is between $25.19 to $37.79 per hour. Please note that the final compensation will depend on your qualifications, skills, competencies, and work location.
